FAQs

GMAAX filters emails with attachments down to the minute received! Please know that a timestamp on a Gmail message in your Inbox may not be the time it was actually received (which is the time displayed in the email's header file). If you need an email from a specific time, give your time search window a good buffer (+/- a few minutes) to ensure you find that particular message!
-
Message/attachment keywords will apply to one individual search (e.g. searching keywords "report, invoice" will search for a SINGLE message with BOTH "report" and "invoice" in the message/attachment name, and not multiple messages with either "report" or "invoice". To search exact keywords, place quotations around it (e.g. "five guys")

If you use Gmail's search function and see an email with an attachment and GMAAX doesn't find it, that means it's archived or in a different Gmail folder (seen in some cases where emails in the Inbox don't have the "Inbox" tag on them). Simply check the "ALL FOLDERS" option for the source folder to search ALL mail folders and GMAAX will search everywhere (including archived emails) and will find the specified emails and attachments!
-
If the email contains embedded HTML content (like an embedded image within an email that is NOT formally attached to the email message), Gmail's search considers the embedded image an "attachment" but Gmail's API doesn't allow for downloading of that image because it's embedded. But GMAAX has you covered! Simply select the “Inline Images” option in GMAXX and you’ll have your embedded image!
NOTE - Some files sent in email may appear in the message as an attachment, but Gmail actually considers them "inline" even though it's actually attachment to the message (this has been seen even with PDF files!). Simply select GMAAX’s "Inline Images" option and it will help to ensure no matter what, those files are downloaded!

Gmail performs OCR (Optical Character Recognition) on images in emails! That's why if you search for specific text, Gmail may return emails with inline images cited as attachments that contains that specific text, even though it only appears in the image and not in the actual email message body/header/metadata or attachment name. And yes, GMAAX downloads those too!
-
When you search Gmail attachments by size, Gmail calculates the TOTAL SIZE of ALL attachments for a SINGLE MESSAGE, versus analyzing the size of each individual attachment. GMAAX was specifically built to perform in alignment with what most people would expect - it searches for individual attachments that meet the size criteria someone is looking for. Gmail just has a quirky way of categorizing attachment sizes.
-
Unfortunately, no. Even though Gmail web search supports wildcards, the Gmail API doesn't handle them the same way. This is a Gmail API limitation, and not something GMAAX can address.
-
YES! GMAAX was designed to pop out as a companion console and give you a command center for work apart from your other windows. It’s a persistent window, which means it will stay in place once you activate it. Once you send it on a search, GMAAX will continue chugging along doing as you’ve commanded! If you ever want to stop a download of attachments, simply click the “Close Window” button at the bottom and GMAAX will abort the active job.

For the folder name, follow this naming convention “{TOP FOLDER}/{NESTED FOLDER}”. So for example, type “Reports/Q4” to create a top folder named “Reports” and then a folder inside named “Q4”.

Click the checkboxes beside each of the filters to expand the menu. They are hidden on launch to give GMAAX a tailored console, with advanced search features ready to go at the click of a button, but hidden away until you need them!
